Deployment News and Notes
The Academic Personnel eFile system has been in operation for over a year. It began with a Steering Committee and a Working Group meeting to develop specifications and requirements for a system that will evolve to process academic actions for all UCR faculty.
Milestones and Events
- Fall 2006 - The eFile system pilot for faculty Merit files began
- June 2007 - The eFile system pilot was completed with 5 Merit files electronically routed and evaluated.
- Spring and summer 2007 - Many training sessions were held for both faculty and staff in order to prepare for a phase 1 deployment of Merits for CHASS and CNAS departments.
- Fall 2007 - Phase 1 deployment of Merits began with CHASS and CNAS departments; some departments participating and processing all Merits through the eFile system and some departments processing just one Merit through the eFile system.
- Summer 2008
- Deployment of functionality allowing faculty to create and generate Merit Snapshots and route them for review.
- Deployment of functionality to ensure that a Department Chair can view Snapshots with appropriate privacy/security considerations.
Current Status
- As of April 2008, there are 340 eFiles, 88 Snapshots in the eFile system and 60 Snapshots have been completely routed through the online system with a final decision from the Vice Provost
- Departments have begun routing Snapshots through the eFile system for review (as part of Phase 1 deployment).
- The Steering Committee and Working Groups are working on upgrades to the eFile system to support:
- Ability for Faculty to create and generate their own Snapshot
- Promotions and Advancements for Senate Faculty
- Ability to designate an Acting Chair in the case that the Chair is the Candidate
- Automated email notifications for Department, College, and Academic Personnel Office routing
- Creative Activities, CV and Biosketch generator, and search/query tools
- Almost 25,000 publications have been entered into eFile, with almost
70,000 authors/co-authors entered to support those publications.
- Over 100 faculty have been trained to use the eFile system.
- ALL Departmental AP Staff Trained on eFile Data Entry and Snapshot.
